We value our clients and because we want to make each photography session a terrific experience and out of fairness to both the studio and our clients, we enforce the following studio policies for all sessions.

Studio and Studio Hours

In Studio Sessions: Tuesday-Thursday by appointment only, during studio hours 9:00 - noon or 1:00 - 3:00pm. Our last studio session begins at 2:00pm

On Location Sessions: Tuesday-Thursday by appointment only. Morning appointments start at 8:00am and afternoon/evening appointments start 1.5 hours before sunset. A 20 mile radius of 92374 travel fee is included in your session fee. If location is located outside of that radius, a $.75/mile one way travel fee will incur and invoiced separately. Clients are responsible for obtaining and paying for any location of their choice photography permits.

Friday, Saturday and Sunday Sessions: These days are generally reserved for our wedding clients. If a wedding has not been scheduled, we reserve the right to open the date for an In Studio or On Location session, but it is not guaranteed. On the rare occasion that a last minute wedding has been offered to the studio on a Friday, Saturday or Sunday when an In Studio or On Location Session has been scheduled, the studio will discuss with the client the possibility of rescheduling.

The Studio is closed on Mondays.

Our studio is a 400 square foot space set aside for photography in our home. We are animal enthusiasts, often fostering for our locat shelter in our spare time. We do have 3 resident cats and 3 dogs. We can’t guarantee that the studio will be 100% dairy free, peanut free, dander free or germ free. We always do our best to sanitize and steam clean our space and stock up on claritin. We want you to feel safe and comfortable in our space. Please let us know of any allergies in advance of your In Studio Session.

Carrie Vines Photography reserves the right to refuse service to anyone at any time.

Session Fee

The session fee is due in full at the time of booking your session and includes the photographer’s time and talent, phone consultation to help plan your session, basic retouching and ordering session. It does not include any finished portraits, products or digital downloads, unless otherwise stated. Your session fee is non-refundable. The session fee covers travel within 20 miles of Redlands, CA (92374). Locations outside of these limits may be subject to an additional charge of $.75/mile one way.

Cancellations and Rescheduling

If you need to reschedule your session due to sickness, injury or a scheduling conflict, please contact us at least 48 hours prior to your session and your session fee will move with the session. We will gladly reschedule your session to our earliest available date. However, if you cancel your appointment within 48 hours of your appointment time, we reserve the right to assess the situation and you may lose your session fee. You will lose your session fee and no rescheduling will be offered with a no show/no call. Please understand that during our peak season, we may not be able to reschedule for a long period of time, especially weekends.

Respectfully, we also reserve the right to reschedule a session due to illness, emergency, death in the family, inclement weather and other unforeseen events beyond our control. We will be sure to inform you of any occurrences as soon as possible and will be sure to reschedule your session at the earliest possible opening.

Session

Since we want to give each client our full attention as well as their full alloted session time, we ask that you please be on time. Although we love our clients to be early, we recommend that you do not arrive more than 15 minutes prior to your appointment unless previously discussed. If you are over 20 minutes late for your scheduled time with no call, Carrie Vines reserves the right to cancel your session. Keep in mind that weekend and afternoon session are in high demand and although we will go to great lengths to meet your scheduling needs, these sessions are often booked 2-3 months in advance.

View and Order Session - Not valid during Covid 19

Carrie Vines Photography is not required to hold or keep your images for any amount of time. We reserve the right to remove your images from our servers after 60 days of your session. Your session fee does not include any products, prints, or digital images, unless stated otherwise. If you wish to purchase additional storage time of your gallery on our servers, we do offer storage of a single session/gallery for $50/year.

Starting in 2021, Carrie Vines Photography will no longer be offering online viewing of portraits prior to your View and Order session. Online galleries will only become available after your View and Order Session, as a means of downloading your images, if applicable. Your online gallery will close in 60 days. There is a $50 service fee to re-open a closed gallery.

A single View and Order Session will take place in our studio, located in Redlands, Ca. The purpose of the View and and Order Session is to make your purchasing decision so please bring all decision making parties to the appointment.

While Carrie Vines Photography does capture many images during your session, you will see only those images selected by Carrie Vines for previewing. She carefully renders each image to ensure maximum artistry and technical perfection. Images with eyes closed, duplicates, out of focus (unless intentional), etc. will not be shown and are removed from the studio archives permanently during the processing.

We have a variety of products and ways for you to enjoy and share your images. We will guide you through the process and help with any questions and make suggestions for displaying your portraits. The View and Order Session can last up to 90 minutes, and for that reason, we request that children not be present.

Additional View and Order Sessions can be purchased for $50 each.

Orders

All orders should be placed within 60 days of the session. All payments are due in full unless payment arrangements have been made or as installments with collections. Orders will not be processed until payment in full is received. If client has arranged a payment plan, order will be placed after the final payment has been received. No exceptions.

We make every effort to ensure complete satisfaction. Because of the uniqueness of custom portraiture and products, all sales are final. Once you place your order, you have 48 hours to make any changes or cancellations. After 48 hours, the order will be processed and no refunds will be given.

Wedding Album Specifics

Wedding albums take a great amount of time and detail to design and we allot a certain amount of time after your wedding to complete your album, to ensure that you receive your album easily and quickly. Within 30 days of receiving your wedding gallery, please start marking (clicking on the heart) the images you would love to see most in your album. Your 20/30 page 8x8 album will hold approximately 45-60 images. You can add more pages to your album if you like. Contact the studio for more info and pricing. Please keep the number of images under 200. After 60 days of receiving your gallery, if there has been no communication or images selected, I'll use the images from your slideshow for your predesign. At that point, one of our album designers will contact you to share the pre design created for you and go over the editing process. After you receive the album pre design, if there is no communication after 30 days, we will order the album as is, selecting a coordinating color/fabric and have the album delivered to our studio for pick up. Album delivery can also be arranged, if applicable.

Payments

We accept cash, cashier’s check or credit cards. 8% sales tax will be added to all appropriate sales.

Payment Plans

We require a 50% retainer fee for weddings. The remaining balance is due 30 days before the wedding. If you wish to make payments on your final balance, you must sign our payment plan agreement form and keep a valid credit card on file. Your payments will be automatically processed per the terms of the agreement form.

For product orders, purchases over $1500 can be split into 3 payments, 15 days apart.

Product Finishes and Care

Carrie Vines Photography mounts and seales are prints ordered in the studio. We strongly believe that by doing this your prints are much more protected and safe. If you do not want to finish your prints this way, you need to let us know at the time of your order. There is no change in price.

When cleaning your print product, NEVER use chemicals. Always use a dry soft cloth to wipe them clean.

Archiving Images

While we work very hard at backing up your images, digital products, computer, thumb drives and external hard drives can fail. Cloud back up service may not always work. We do our best to keep your images safe, but assume no liability for lost digital files.

Images that are purchased are archived for your future purchase or for reprints for 6 months from the date of your View and Order Session. Images that are NOT purchased are kept for only 30 days from the date of your View and Order Session, at which time those images are removed from our archives.

Copyright

Carrie Vines Photography retains all copyrights to all images created during client’s session. A print release will be included with all digital files to print portraits for personal use up to the designated size listed on print release. The print release does not allow publication of your portraits (i.e. entering in contests), selling or altering of your images without the photographer’s written permission. It is illegal to copy, scan, download, print, share, alter, or otherwise steal any image created by Carrie Vines Photography during client’s photo session. This applies to “sneak peek” images, images posted in an online proofing gallery, blog, Facebook, or hard copy images.

Personal camera/phone/video

We do not allow outside camera/phones/videos to brought into the studio or on location session at any time.

Pets

We love furbabies! Pets are allowed only if being photographed. Pets must be on a leash or in a carrier. Owners assume all responsibility for the care and safety of their pets.

Privacy Policy

Carrie Vines Photography is committed to your privacy. Information collected from clients in person, over the phone, in emails or through our website is strictly confidential. We will not sell or exchange names or any other personally identifiable information about our clients with third parties, and work to ensure your personal information is secure at all times. We fully understand that some clients want to remain anonymous due their jobs or personal life.

Hair and Makeup

For an additional fee, we offer hair and makeup to our clients. We have several HMU artists who come to our studio prior to your session to do this. The client is responsible for telling Carrie Vines Photography or the HMU artist if they are unhappy with their hair or makeup PRIOR TO TAKING PHOTOS. If the client is unhappy and has expressed that to us, we will do everything we can to change it so they do like it, within a reasonable time. If that is unable to happen, we will have to reschedule the photo shoot and HMU session, at the additional cost to the client. Absolutely no refunds will be given if the client is unhappy with their hair and/or makeup.

Liability

Carrie Vines Photography is not responsible for any injuries or damages inflicted upon any participating parties. Client(s) will be responsible for their children and for themselves and release photographer from any claims against their person or their business.
